Security & Data Handling

Last Updated: July 6th 2026

Beacon Tax Credits takes the privacy, security, and handling of client information seriously. Because tax credit reviews may involve sensitive business, payroll, financial, ownership, and tax-related materials, we use secure systems and controlled workflows to help protect the information provided to us.

Our Security Approach

Beacon Tax Credits uses a security-conscious intake and review process designed to limit unnecessary exposure of sensitive information.

Our approach includes:

Use of TaxDome for Sensitive Materials

Beacon Tax Credits uses TaxDome as our secure client portal for housing sensitive information and requested client materials.

TaxDome is used for secure document collection, client communication, file organization, and storage of sensitive tax-credit review materials. When Beacon requests documents such as payroll information, business records, tax-related documentation, ownership information, or other sensitive supporting materials, clients should submit those materials through the secure TaxDome portal unless otherwise instructed.

Please do not send Social Security numbers, full tax returns, payroll records, bank information, employee records, or other sensitive documents through ordinary email or unsecured website forms unless we have specifically provided a secure method for doing so.

TaxDome Security and Compliance

TaxDome states that it maintains SOC 2 Type II certified security standards and uses a multi-layered approach to data protection, including encryption, access controls, monitoring, and secure cloud infrastructure. TaxDome's Trust Center also describes its use of encryption for data in transit and at rest, role-based access controls, multi-factor authentication, AWS cloud infrastructure, Cloudflare network security features, web application firewalls, DDoS protection, monitoring, backups, and ransomware defense practices.

TaxDome also states that it uses industry-standard SSL encryption for data communication, stores data in Amazon Web Services data centers, applies permission-based access controls, and maintains SOC 2 Type II certification.

Beacon Tax Credits relies on TaxDome as a secure portal partner for sensitive client information. However, Beacon Tax Credits remains responsible for its own internal handling practices, employee access controls, client communications, marketing representations, and business procedures.

What Information We May Request

Depending on the nature of the review, Beacon Tax Credits or its approved tax-credit professionals may request information such as:

We request this information only as needed to evaluate potential eligibility, prepare documentation, support a review, or coordinate services requested by the client.

How Sensitive Documents Should Be Submitted

Sensitive documents should be submitted through the secure TaxDome portal.

Examples of materials that should generally be uploaded through TaxDome rather than sent by ordinary email include:

If you are unsure whether a document is sensitive, use the secure portal or contact Beacon Tax Credits before sending it.

Website Forms and Initial Intake

Our website may collect basic contact and eligibility-screening information, such as your name, business name, email address, phone number, industry, estimated revenue, employee count, and general eligibility responses.

Website forms are intended for preliminary screening and communication. They are not intended for uploading or transmitting highly sensitive tax, payroll, employee, banking, or financial records unless a secure upload method is specifically provided.

Access to Client Information

Beacon Tax Credits limits access to client information to individuals and service providers who need the information to perform requested services, support client communication, evaluate eligibility, assist with documentation, or coordinate tax-credit review activities.

Access may be provided to:

We do not sell client tax, payroll, or financial information.

Email and Communication Security

Ordinary email may not be secure enough for highly sensitive documents. Beacon Tax Credits may use email for general communication, scheduling, reminders, and non-sensitive correspondence.

Clients should avoid emailing documents that contain:

When sensitive materials are needed, Beacon Tax Credits will generally direct clients to upload them through TaxDome.

Data Retention

Beacon Tax Credits may retain client information and documentation for as long as reasonably necessary to provide services, comply with legal or professional obligations, support tax-credit documentation, resolve disputes, maintain business records, or satisfy applicable recordkeeping requirements.

Retention periods may vary depending on the type of information, the services requested, applicable law, and the requirements of participating tax-credit professionals or service providers.

Third-Party Providers

Beacon Tax Credits may use trusted third-party service providers to support secure portal access, document management, communication, scheduling, payment processing, analytics, customer service, and business operations.

TaxDome is our secure portal partner for sensitive client documents and requested materials. Other third-party providers may be used for non-sensitive website, communication, CRM, payment, analytics, or administrative functions.

Each provider is responsible for its own systems, policies, and security controls. Beacon Tax Credits seeks to use reputable providers appropriate for the type of information being handled.

Client Responsibilities

Clients also play an important role in protecting their information.

We recommend that clients:

No Guarantee of Absolute Security

While Beacon Tax Credits and its technology partners use safeguards intended to protect client information, no website, portal, email system, cloud platform, or internet transmission method can be guaranteed to be completely secure.

Beacon Tax Credits works to reduce risk by using secure portal technology, limiting unnecessary collection of sensitive information, restricting access to authorized parties, and directing sensitive document exchange through TaxDome.
